Overview

SpicTrack is a digital platform designed to replace Spic and Span’s outdated manual systems with one streamlined, user-friendly tool. Built with both administrators and employees in mind, the platform supports real-time scheduling, document access, and payroll processing—all in one place. The goal of this project was to improve the efficiency and effectiveness of Spic and Span’s internal operations by transforming everyday frustrations into a smart, accessible solution. While the long-term vision is a complete internal business portal, I'm highlighting the scheduling and time tracking module, which is the foundation for improving daily workflows and communication across the company.

Discovery

Challenges

Spic and Span had no centralized digital system. Everything was done manually. This caused confusion, delays, and constant miscommunication in daily operations. Key Challenges: // Processes were scattered across paper, phone calls, and WhatsApp, making admin tasks slow and hard to manage. // Schedules were handwritten, easy to lose, and difficult to update quickly. // Schedule changes were informal, shared through messages with no effective way to record or trace. // No time-tracking system meant hours were verified by memory or calls, causing frequent payroll mistakes. // Vacation planning was chaotic, with no automation or system to coordinate time off. // Employees had to visit the office for basic requests, wasting time and money. // Admins spent hours on repetitive tasks, leaving little room for strategic work or process improvement.

PROCESS

How might I create a digital solution that improves the efficiency and effectiveness of Spic and Span’s internal operations while supporting a smoother workflow for both employees and administrators?

To tackle the challenges, I applied the Design Thinking process. A human-centered approach that allowed me to deeply understand the needs of both administrators and employees. Starting with Empathize, I conducted interviews and gathered insights into their daily frustrations. In the Define phase, I identified core problems and gave answer to my main research question. During Ideation, I brainstormed different possible solutions. I then translated those ideas into concrete concepts, which I developed further through prototyping. Finally, I tested the initial prototype with users to gather feedback and improve the experience. This process helped ensure that the solution was grounded in real user needs while laying the foundation for a broader digital platform.

THE CONCEPT

Smart Scheduling! The Backbone of a Bigger Vision.

While SpicTrack is designed to become a complete internal operations portal, this 4-month project focused on the company’s most urgent and complex issue: scheduling and time tracking. The old system used handwritten schedules shared through WhatsApp, with changes communicated via calls and messages. This caused constant confusion, delays, and mistakes. It was inefficient, untraceable, and exhausting for both administrators and employees. To solve this, I designed a digital solution with two core parts: // Admin Dashboard (Desktop): allows administrators to create, edit, and manage schedules in real time, with clear visibility and control. // Employee Portal (Mobile App): enables employees to view schedules, clock in and out, track work hours, receive live updates, communicate with the office or colleagues, and request leave.

SpicTrack transforms scheduling into an efficient and effective process. Admins can manage shifts in real time, while employees instantly access schedules on their phones. This reduces confusion, saves time, and improves daily workflow for everyone.
